    About Booking

    The booking process is completed online and over the telephone. Please read on to find out about payment methods, terms, check-in & check-out.

    All major credit & debit cards accepted subject to our payment terms.

    The process step by step

    Enquiry

    Reservation

    • We email you your booking form to confirm the booking criteria
    • On receipt of your booking form, we contact you to take payment

     Payment

    • You pay the deposit or rental fee (see below Payment Terms & Payment Methods)
    • On receipt of payment we issue an invoice receipt, & Check-In details

     Arrival & Departure

    • Within 7 days of your arrival we telephone you to take a security deposit via credit or debit card (see terms of booking tenancy)
    • Arrival: Check-In with our Guest Manager for a tour of property facilities & keys. ID required: passport/driving licence & a utility bill matching home address, dated within the last 3-6 months.
    • Departure: Check-Out with our Guest Manager & return of keys

     

     * The booking reservation fee is deducted off the final invoice. For bookings that do not go ahead, the booking admin fee is non-refundable.

    Payment Terms

    Full payment is due within 10 weeks of your arrival date.

    Bookings received before 10 weeks pay 25% of the rental and the balance 10 weeks before arrival. 

    The security damages deposit is due to reach us within 7 days of your arrival.

    Security Damages Deposit 

    All bookings attract a security deposit of between £500 and £1000 as detailed in the Booking Invoice. The security deposit shall be refunded (without interest) to the Guest within 7-10 working days of departure, minus any sums that may be due to the Suffolk Character Cottages as a result of any breakages or breach of the Terms of Booking & Tenancy. If the sum of damages exceeds the security deposit the guest agrees to pay Suffolk Character Cottages any additional amount due for damages within 14 days of being requested.

    The security deposit will be refunded to the original source of payment: debit/credit card used for payment or the Guest's bank account. The Guest is responsible for providing their banking details for return of the deposit.

    Last Minute Booking Payments 

    We must have cleared funds before you can enter the property.

    Cancellation Terms

    Suffolk Character Cottages applies the following to booking cancellations:

    A £100 admin fee or if within:

    • 10 weeks of the arrival date - the 25% rental deposit is retained 
    • 9 – 6 weeks of the arrival date - 50% of the Rent;
    • 5 – 4 weeks of the arrival date - 70% of the Rent;
    • 3 – 2 weeks of the arrival date - 80% of the Rent;
    • less than 2 weeks of the arrival date - 100% of the Rent.

    We recommend that Guests take out cancellation insurance.

    Booking Validity

    The booking admin fee reserves your booking until your deposit or full rental payment is received. Deposit/rental payments must be received within 72 hours of the booking invoice being issued. No booking is secured until full payment is received and confirmed by Suffolk Character Cottages by way of a receipt issued for the Booking Invoice. The booking admin fee is non refundable if the booking does not go ahead. Suffolk Character Cottages reserves the right to refund any payments made for Booking Invoices already issued (in the event that the Booking Invoice has by default expired because of late payment). 

    Changing of booking dates 

    In the event the Guest wishes to change the date of the booking a 'change admin fee' of £75 is payable to Suffolk Character Cottages. Bookings cannot be changed within 10 weeks of the arrival date when they will attract a cancellation fee (see above). Booking changes cannot be guaranteed and are subject to availability. If the booking is changed to a period where higher rental charges are due, the Guest must pay the difference. However no refund will be given for changing dates to booking periods of a lower value. 

    The booking is only to the Guests who book and may not be sublet/resold.  On arrival, identification of the booking Guest must be shown to the property manager to gain access to the property: passport or driving licence plus a utility bill dated within the last 3 months. 

    Value Added Tax  

    VAT is included in payments where applicable.

    Data Protection & Identification 

    DATA PROTECTION & IDENTIFICATION

    Suffolk Character Cottages does not hold any record of payment details such as credit card or bank account information.

    Suffolk Character Cottages requires certain information on arrival to check and verify your identity.

    On arrival at the property before taking occupany, the paying Guest named on the agreement must provide to the guest manager -

    1. An original proof of identification, either a driving licence or passport, and also a utility bill dated within the last 3 months featuring the name and address provided in the Booking Form/Booking Invoice.

    2. A printed copy of the booking confirmation and a signed copy of the terms and conditions.

    Without the required Guest paperwork access to the property may be denied and no refund will be given.

     

     

    For all non-British or Irish or Commonwealth guests Suffolk Character Cottages is obliged to record this information -

    • a passport number and place of issue (or other documents which shows their identity or nationality),
    • and details of their next destination (including the address, if known).

    Diplomats and their family and staff do not have to register.

    Arrival & Depature Times & Check-In/Out

    Check-In ~ 16:30 onwards

    Check-Out ~ by 10:00

    Extensions to arrival or departure times may be possible subject to availability and an additional charge. You must call the guest manager at least 48 hours prior to arrival to confirm a check-in time.
